We are seeking a highly organized and proactive Team Assistant to support our local management team in Zurich. This
role requires a detail-oriented individual with exceptional multitasking abilities to manage complex calendars,
coordinate travel arrangements, organize workshops, and contribute to our Project Management Office (PMO) with program
charter creation and follow-up on project deliverables.
How you`ll make an impact

Manage and optimize the team’s calendar, including scheduling meetings, appointments, and events
-
Coordinate domestic and international travel arrangements, including flight bookings, accommodations, and
transportation
-
Prepare travel itineraries and ensure all travel documents are in order, anticipating scheduling conflicts and
proactively resolve them
-
Manage team’s expenses in line with the company policy
-
Plan and organize workshops, including coordinating with participants and securing venues
-
Develop and distribute workshop agendas and preparatory materials
-
Facilitate communication between participants to ensure smooth operation of workshops
-
Provide on-site support during workshops to address any logistical issues
-
Create and maintain the program charter, outlining key objectives, scope, and deliverables
-
Collaborate with team members to track project actions and ensure timely completion
-
Update project documentation regularly to reflect progress and changes
-
Assist in the preparation of project status reports and presentations for senior management
Your background
-
Bachelor’s degree in Business Administration or related field
-
Proven experience as an Assistant or in a similar role
-
Strong organizational and time management skills
-
Exceptional written and verbal communication skills
-
Proficiency in Microsoft Office Suite and project management software
-
Ability to work independently and handle multiple priorities in a fast-paced environment
-
Proactive and self-motivated
-
Detail-oriented with a high degree of accuracy
-
Strong problem-solving skills
-
Excellent interpersonal skills and the ability to work with diverse teams
-
Flexible and adaptable to changing priorities
